Account Settings (Managing Users and Permissions)

You must be an account owner in order to perform the actions described in this article. If you do not have this role, reach out to your SundaySky contact for assistance.


Overview

The Account settings page is used to manage users and permissions for your SundaySky account, including adding and removing users and controlling access to AI features.

The page is organized with a left sidebar navigation containing two main sections:

1. Users: This section has two tabs to manage your account's users.
  The Editors tab displays all users with Editor-level access. Editors can access Create to create videos and templates.
  The Contributors tab shows all users with Contributor-level access. Contributors can access Amplify to personalize templates and share videos.
2. Permissions: This section is used to define which AI-powered features are available for your account.

Accessing Account Settings

Throughout Create, you can access the Account settings page by clicking your avatar in the top-right corner and selecting Account settings from the menu.
On the Video Page only, this same menu is accessed from the bottom-left corner.

Adding a User

Here are the key points to know about adding a user:

a. Next to each user role, you'll see a label showing the number of seats used out of the total seats allocated for that role. In the example below, 6 Editor seats are allocated, and 2 are currently in use. A seat is consumed as soon as a user is added to this page and a welcome email is sent.

b. A user can be both an Editor and a Contributor. In this case, they will consume only one Editor seat and not a Contributor seat.
c. If the message below appears when you try to add a new user, it means that the person already has a user in the account. To give them access, click Edit user type and add the needed user type (Editor or Contributor) to their existing user. As noted above (b), a single user can have multiple user types.

d. When all the allocated seats have been consumed, the following message is displayed. The number of seats will vary based on your subscription plan.

e. If you are the account owner and have not added any users yet, only your user appears on the page, with Account owner displayed next to your name.

Adding a User:

1. Click the Users tab.
2. Click + Add user at the top of the page.
3. Enter the user's email address.

4. Select the relevant user type. A user can be both a Contributor and an Editor; in this case, they will consume only one Editor seat.
Contributor provides access to Amplify.
Editor provides full access to Create.
Viewer provides view-only access to Create.

5. Click Add.
▶ Check Add another user to add multiple users without closing this form.
  The user is added to the account in the relevant tab with a status of First login pending and is sent a welcome email with login details.
This status remains until the user logs in to SundaySky for the first time, changes their temporary password, and completes the account setup process. During account setup, users need to provide their full name and company role.
The login details sent to the user expire 45 days after the email is sent. The status remains First login pending until then. If the login details expire and the user still requires access to SundaySky, you'll need to delete the pending user and create a new one.

  Once the user completes the account setup process, the First login pending status is replaced with the login date and the user's full name is added to their record.

Changing a User's Role (User Type)

Use this option to change a user's role or add an additional role, such as adding Contributor to a user who currently has only Editor.

1. Locate the user whose user type you want to change.
2. Click the Options (⋮) menu at the end of the user's row and then select Edit.

3. Change the user type or select an additional one.
4. Click Save.

Deleting a User

Here are the key points to know about deleting a user:

1. When an Editor is deleted: All videos created by the user remain in the account and can be accessed by other users in the same account. The deleted user's name will still appear as the creator of each video.
2. When a Contributor is deleted: The user account, along with all created videos and associated analytics, is permanently removed. The only videos that remain are those already in the possession of recipients (i.e., videos that were previously shared).

Deleting a User:

1. Locate the user that you want to delete.
2. Click the Options (⋮) menu at the end of the user's row and then select Delete.

3. If you are sure that you want to delete this user, type Delete to confirm.

4. Click Delete permanently.

Permissions

SundaySky Create includes a suite of AI-powered features that streamline video creation and help produce high-quality results. As an account owner, you can manage which AI tools are available to your team members from the Permissions tab.

Below are descriptions of each setting:

New AI feature enablement
Automatically enable new AI features as they are released When toggled on, all newly released SundaySky AI features are automatically available to all users in the account.
When toggled off, new AI features are unavailable by default.
AI features
Prompt to video When toggled on, users can write a prompt to generate a video brief.
Document to video When toggled on, users can upload a document to generate a video brief.
AI Image Generator When toggled on, users can use the AI Image Generator to create images for video scenes.
Copilot Music Suggestions When toggled on, users can get recommendations for music tracks to use in videos.
Custom Voice Creation When toggled on, users can create and use custom AI voices in videos.
Translation When toggled on, users can translate video narration into multiple languages.
AI Voice Library (required) As this feature enables the use of AI voices in videos, it is toggled on for all accounts and cannot be disabled.
Avatars When toggled on, users can use both stock and custom avatars in videos.
When toggled off, users cannot use avatars in videos.
Custom Avatars When toggled on, users can create and use custom avatars in videos.

Notes:

1. Beneath each AI feature name is a Learn more link that opens the related help article. In addition, links are provided to the terms and conditions of the respective AI models used to develop the feature.

2. When an AI feature is disabled, it appears grayed out in Create. Hovering over the option displays a tooltip prompting the user to contact the account owner to enable the feature.

3. A user who is not an account owner cannot configure settings in this tab and can only view the status of each feature (enabled or disabled).
