Multiple Approvers: Route Approvals to the Right People

Introduction

A video or template can be sent to more than one approver before it is published. When submitting a request, the creator assigns each approver and sets the approval logic, which determines whether every approver must approve or whether one approver from a group can approve on the group's behalf.

The following types of approval logic can be configured:

a. Unanimous approval
Every assigned approver must approve. A single set of comments returns the request to the creator.
For example: three approvers are assigned, and all three must approve before the video can be published.

b. Any-one approval
Any one approver in a group can approve on the group's behalf.
For example: two approvers are assigned, and approval from either one is enough.

c. Required approver plus one of a group
A named approver must always approve, plus at least one approver from a group.
For example: four approvers are assigned. Approver 1 must approve, along with any one of the remaining three.

d. One approver from each of several groups
Approvers are divided into groups, and at least one approver from each group must approve.
For example: six approvers are divided into two groups, and one approver from each group must approve.

All assigned approvers are notified at the same time and can review in any order. The request is approved as soon as its approval logic is met, even if some approvers have not reviewed it yet.

Before assigning approvers, the approval workflow must be enabled for your account, and each approver must be assigned the approver role. See Approval Workflow for how to set this up.

Assigning Approvers

1. Open the video or template and click Submit for approval.
2. From the Select approver list, select an approver.
▶ The list includes users assigned the approver role in Account Settings.
3. To add another approver, click Add required approver and select the approver from the list.
▶ A new approver is added with AND logic by default, meaning both approvers must approve.
▶ The list shows only approvers who are not yet assigned to this request.
4. To let any one approver in a group approve on the group's behalf, click OR next to an approver, and then select another approver from the nested Select approver list.
▶ For example, Approver 1 must approve, plus either Approver 2 or Approver 3.
5. Read the written summary of the approval logic displayed in the window, and make sure it matches the rule you intended.
6. Click Send for approval.
7. (Optional) Do either or both of the following:
a. Click Share approval link to copy a link you can send to approvers by email, Slack, or another channel.
b. Select Notify me about feedback to receive email and in-app updates as approvers respond.
The draft status changes to Draft pending approval, and each approver receives an email and an in-app notification with a link to the video or template.

Reviewing as an Approver

Each approver reviews the request the same way as in a single-approver request. For details on adding comments, see Approval Workflow.

1. Open the request from the email, the in-app notification, or the shared approval link.
2. Click Start approval process.
▶ As soon as any approver starts the approval process, the video or template is locked for editing. The creator switches to view-only mode and receives an in-app notification.
3. Click Approve video, or add comments and send them to the creator.

Each time an approver approves, the creator receives an email and an in-app notification showing which approvals are still required. When the approval logic is met, the creator is notified that the video or template has been approved.

Resubmitting After Comments

When an approver sends comments, the request returns to the creator. The other approvers can't approve or comment until the creator resubmits.

1. Open the comments by clicking View comment in Studio in the notification.
▶ Comments are also available from the comments tool in the Studio left panel.
2. Address each comment and mark it as resolved.
▶ If you decide not to make a requested change, add an explanation for that comment.
3. Click Resubmit for approval.
▶ If you added explanations for unresolved comments, click Choose approvers to review the update.
4. Choose which approvers receive the updated version:
a. The approver who sent the comments is selected by default.
b. Approvers who already approved are cleared by default. Select them if the change is significant enough to need another review.
c. Approvers who had not yet responded can be included or left out. We recommend including them.
5. Click Send updated version to approvers.
The selected approvers receive email and in-app notifications, and the approval process continues.

Notes

  1. Until an approver clicks Start approval process, the creator can still edit the video or template and resubmit it.
  2. After a video or template is approved, it can still be submitted for another approval. See Publishing an Approved Video.
